Executive Administrative Assistant

Summary: Responsible for providing support to Executive-Level professionals including the CEO as well as assistance in the Human Resources Department. This individual will be responsible for planning meetings, recording/transcribing meeting minutes, updating and maintaining the CEO Calendar, and assisting the Human Resources Department.

Education and Experience: BA/BS degree or equivalent combination of experience and education, ability to manage large data sets. Experience working with multi-disciplinary groups including community-based organizations is desirable although not required. Outstanding reading, writing, grammar and mathematics skills; good interpersonal relations and communication skills; working knowledge of a variety of computer software applications in word processing, spreadsheets, and database software. Knowledge of office administrative procedures and use and operation of standard office equipment. Strong analytical ability and attention to detail are required in order to gather and summarize data for reports, suggest solutions to various administrative problems and prioritize work. High level of interpersonal skills to handle sensitive and confidential situations.

Essential Duties and Responsibilities:

·Assumes responsibility for the day-to-day office management of the CEO by managing CEO related information. Managing the schedule of the CEO including arranging travel and completing travel and expense reports;

·Provides basic clerical support such as answering phone calls, directing visitors, scheduling meetings, recording meeting minutes, opening and distributing correspondence, filing and ordering office supplies for the CEO and Executive Team as appropriate;

·Work with Department Heads to develop and issue Agency Newsletter;

·Meets as needed with the CEO to measure progress, and to develop effective working plans and strategies to meet the goals of the CEO and Executive Team;

·Ability to interact with other staff members in the process of planning meetings, conducting surveys on behalf of the CEO;

·Capable of functioning independently with the ability to multi-tasks and handle highly confidential information;

·Reports to Human Resources Director and assists with HR department functions as needed;

·Work with HR Director to update and maintain personnel files;

·Perform other duties as assigned by CEO or HR Director.
